The Workday@UChicago Back Story

In March 2013, the University of Chicago completed a business case for a new HR/Payroll system. The business case described the current HR/Payroll environment and documented the risks associated with a 25-year-old set of legacy systems supporting its HR/Payroll business processes. Based on the business case, a capital funding request to implement a new HR Information System (HRIS) was requested and approved in May 2013.

In June 2013, an RFI was issued to solicit interest and bids to implement the new HRIS. Test/demonstration scenarios were developed by the Office of the Provost and Human Resources. More than 30 individuals representing all schools and divisions and the College, as well as central units (Provost's Office, HR, Financial Services) attended vendor demonstrations and provided feedback. In July 2013, the University selected Workday Human Capital Management (HCM) as its new HRIS.

In September 2013, the Workday@UChicago project was officially kicked off, with executive sponsorship from the Provost, Chief Human Resources Officer (CHRO) and EVP for Administration and Chief Financial Officer. The core project team was established from members of the the Office of the Provost, Human Resources, IT Services and Financial Services. Subject matter experts from local and central HR, IT and Payroll also were brought in to assist with data gathering and system configuration.
